The Sales Tools & Systems Coordinator is an entry-level, execution-focused role responsible for day-to-day data validation and workflow support within CRM and CDA processes.

This role applies documented standards and checklists to review data, correct issues when appropriate, and escalate items that fall outside defined guidelines. The Coordinator does not own systems, strategy, approvals, or tool direction, but plays a critical role in protecting downstream order accuracy and reporting integrity.

Key Responsibilities

Operating Lens: Execute defined workflows, validate required data, and escalate exceptions to protect clean orders and trusted reporting.

CRM Data Review & Maintenance

  • Review newly created or updated accounts, contacts, and opportunities for completeness and accuracy using documented CRM standards.
  • Verify required fields are populated correctly based on defined checklists.
  • Identify duplicate, misaligned, or incomplete records and correct them when permitted.
  • Escalate data issues that fall outside correction guidelines to Sales Ops leadership.
  • Run routine reports to identify missing information needed

Account Setup & Capability Validation

  • Verify and maintain key account-level attributes in CRM (e.g., dealer business operating system, specification tools in use, ordering capability).
  • Update account attributes based on confirmed information from Sales or Sales Ops.
  • Flag discrepancies between how an account is set up in CRM and how the account actually operates, for review by Sales Ops.

CDA Data Validation (No Approval Authority)

  • Review incoming CDA submissions to ensure the correct CDA type is used and that required information is present and accurate.
  • Work with Sales Reps to resolve missing or incorrect CDA information prior to approval routing.
  • Guide new users through the CDA process and CDA system, explaining when different CDA types should be used and how to enter them correctly.
  • Escalate CDAs that fall outside defined data standards or require additional review.

Workflow Monitoring, First-Issue & New User Support

  • Monitor daily CRM and CDA activity to identify breakdowns in standard workflows.
  • Serve as the first point of contact for basic CRM or CDA questions from the field, including guiding new users on CRM and CDA fundamentals.
  • Walk new users through required CRM workflows (accounts, contacts, opportunities, CDAs) using documented job aids and checklists.
  • Reinforce correct CRM usage through real-time guidance while users are entering data.
  • Use documented troubleshooting steps to resolve common data or workflow issues.
  • Escalate system-related issues, repeated errors, or advanced training needs to Sales Ops leadership or Sales Enablement.

Documentation & Issue Tracking

  • Document data corrections, issues, and escalations using defined templates.
  • Track recurring data issues and common errors.
  • Assist in creating and maintaining digital learning content and guided learning paths that help new and existing users understand CRM fundamentals and required workflows.

QA, Testing & Feedback Translation

  • Participate in QA and pre-release testing for system updates and new features.
  • Validate changes against real-world sales use cases.
  • Collect and synthesize field feedback uncovered during testing and early use.
  • Translate feedback into clear recommendations for system, workflow, or roadmap consideration.
